your accounting data from anywhere in the world, anytime day or
night. If you need to discuss any aspect of your accounts with us,
we can call up the same screen as you and talk you through the issues.
That also means that we can offer a totally flexible service.
Add in secure back-ups, direct imports into MS Office, no maintenance
or upgrades to worry about and the cost advantages and you'll wonder
how you ever managed with those cumbersome offline systems in the
bad old days.
What software do I need to buy?
None. All the software is online. You just log in a get to work.
What about upgrades?
Not your problem. Upgrades are made automatically on the server.
There's no downtime, no data conversion, no consulting fee, no maintenance
contract. Everything is included in your monthly charge.
Why is this more flexible than other systems?
The system is flexible. No worries about maintenance or upgrades,
a system that grows with your business. We even make it easy to
cancel your subscription if you really want to.
Our service is flexible. Because we can access your system, we
can do as much or as little of the work as you need us to. You might
want us to handle monthly reporting. Or even help with data entry
if you build up a backlog. Best of all, we can talk through issues
with you, looking at the same screens as you and even updating data
and reports before your eyes. It's like having your very own finance
director in the office next door.
Who do I call for help?
We have a dedicated helpline to deal with any technical problems
you encounter. For accounting and other non-technical issues, you
can call or e-mail us at Small Biz Accounts. One of the big benefits
of our online system is that we can log on to your system and study
your accounts. We can even update your records while you watch.
What about pricing?
There is a set up fee dependent on the work required to set up
and configure your accounts software. After that, you pay a monthly
charge, based on the level of software and the number of users.
Our fee includes support and upgrades and generally represents a
significant saving compared to the equivalent offline package.
Do you have a Service Level Agreement?
Yes. The agreement specifies that the service runs 24 hours a day,
7 days a week.
Do I need specialised equipment?
Any PC with a recent version of Internet Explorer will be sufficient.
How secure is my data?
The whole system uses 128-bit encryption to ensure privacy of data.
This security is the same as that used for on-line banking. Your
company will have its own user group to which all users of the system
are allocated. All users are assigned an individual level of access
that determines how much of the system they can use. The only people
able to see your data will be members of the user group with the
correct level of access, and us, as your accountants.
If you would like additional security, then you can have a secure,
certificate-based Virtual Private Network and then restrict particular
user accounts so that they can only log in from those secure networks.
This would ensure, for example, that users can only log in from
their normal work place. This security would be greater than that
used for online banking. There would be a charge for configuring
the Virtual Private Network, and you will need suitable equipment.
How do I make backups?
It is always best to make a back-up locally. However, the entire
system is backed up every night and kept securely for at least 7
days. Data can be restored in exactly the same way as is done offline.
Will online50 print to my printer?
Printing works to any local printer where a standard Microsoft
driver is supported. Printers with non-standard drivers are not
supported, but can be assessed on a case by case basis.
What happens if two users access online50 at the same time?
Multiple users can access the same data set at the same time, but
the system protects against two users changing the same record (for
example a Customer Record) at the same time. If we are accessing
your accounts you will still be able to access them, and vice versa
(this can be really useful for discussing accounts issues over the
phone).
Do I need broadband?
No, but if you haven't got broadband then you've got other things
to worry about.
Can I see a demonstration?
Yes, of course. We can organise an online demo, with the added
benefit that you can see how the system helps us to provide you
with a really effective service.
